Committee guide

From nothing to a working gate in an afternoon. No app store, no hardware, no training sessions.

1. Create your society

Go to amacomplex.com, sign in (Google, Apple, or email), and choose Setting up a new society. You become the first committee admin. Do this on a laptop if you have one handy, it is easier for the setup steps.

2. Add blocks and flats

Under Flats, add your blocks or wings (A, B, Tower 1…). Then add flats using ranges: typing 101-110, 201-210 creates twenty flats at once. Floors are guessed from the number. Single building? Skip blocks.

3. Invite people

Under People, invite by email:

  • Residents: pick the flat and whether they are owner, tenant or family. Each adult who should get gate alerts needs their own invite.
  • Security guard: role "Security guard". Set up a Gmail for the gate if guards share a phone.
  • Other committee members / property manager / accountant: pick the matching role. Accountants see only billing.

The moment an invited person signs in with that email, they land in the right place. If they already had an account, access is granted instantly. Pending invites are listed until accepted; cancel any sent by mistake.

4. Set up the gate phone

On the guard's phone, open amacomplex.com, sign in as the guard, add it to the home screen, and tap Turn on alerts. The Gate screen has two actions: New visitor (type the flat, name, type, tap Ask resident) and Guest with a pass code (type the 6 digits, tap Allow in). Approved visitors appear under "Approved — let in"; the guard taps Entered, and later Mark left.

Any cheap Android phone works. Keep it charged and on Wi-Fi or 4G.

5. Billing

Under Billing, set the monthly charge, either the same amount for every flat or a rate per square foot, the due day, and GST if it applies to your society. Tap Generate once a month; every flat gets a bill and a phone alert. Record payments as they come in (UPI, cash, bank, cheque) and the resident sees it as paid. Overdue bills are flagged automatically.

6. Notices and complaints

Notices: write it, choose whole society or one block, publish. Residents get a phone alert; you see how many have read it.

Complaints: everything open is in one list. Open one to assign it to a committee member or the property manager, set priority, post updates the resident can read, and mark it resolved. Residents rate the fix, so you can see how your vendors perform.

Good to know

  • Residents only ever see their own flat's visitors, bills and complaints. Guards see the gate, nothing else.
  • Your data is backed up every night.
  • Removing a member under People revokes their access immediately.
  • You can be a member of more than one society; switch from the top of the screen.
